Add a Scout
For one or two. Use the file import below for a whole roster.
A parent, if you have one now — they can sign in and pay as soon as they are attached. Nothing is emailed either way, and you can add or change this later from the Scouts tab.
Import roster
In Scoutbook Plus go to Reports → Roster Builder, tick the columns you need, and export.
Which columns to tick, and why
- Scout name — required. Rows without one are skipped.
- Parent email — required in practice. Without it that parent can't sign in, since a sign-in link is the way in. Scoutbook's adults export cannot supply these: it has no email column and nothing linking an adult to a Scout, so it cannot be joined to this.
- BSA member ID — strongly recommended. It's what keeps a Scout matched to the same record when you re-import later; without it matching falls back to the name, which breaks the first time someone goes from Robert to Bobby.
- Den or patrol — optional. Shows as a label beside the Scout on the Owed list.
- Parent name — optional. Without it, parents are listed by their email address.
Extra columns are ignored, and the names don't have to match exactly — each field is recognised by several spellings. Nothing is saved until you preview and then apply.

Overdue reminders
One email per parent listing everything they owe, no more often than the cooldown. Preview before you turn it on.
Card processing rate
What your processor charges. Used only to work out what a payer is charged when a collection adds the fee on top — the fee actually taken is recorded from the payment itself. Square's online rate on the free plan is 3.3% + $0.30; check your own plan, it is not the same for everyone.
Invite someone
Admins run the unit's money: record cash, post charges, manage collections and the roster, approve reimbursements. Parents only see their own Scout. Owners are the people who can change who has access and hand off the unit — keep that to two, so nobody is ever the only one who can get back in.
Who has access
A unit always keeps at least one owner. Removing the last one is refused.
Reimbursements
Someone spent their own money on the unit. Look at the receipt, then approve — approving emails it straight to the accountant with the receipt attached. Anyone can submit at scout282.com/reimburse.
Message parents
Goes to the parents you tick, from your unit's address. Nothing is sent until you press send and confirm the count.
